Can I turn down a "call to duty"?
Of course! We understand that life in the field can be unpredictable—no pressure at all. You’re never obligated to accept a ‘call to duty.’ Rest assured, we have a strong network of Baking Troops ready to step in and complete the mission.
All we ask is for a quick response. Why? The sooner we hear back, the faster we can reassign the mission to another baker and keep the operation on track. Think of it as a cake relay—your timely reply helps ensure every celebration stays sweet and successful!
How do you determine which baker to call to duty?
We look at some key ingredients, like how close you are to the family (convenience is key!), making sure everything aligns with your state’s licensing laws for safety, when you joined our baking troop, and how many cakes you’ve created so far. It’s a blend of location, timing, and a little cake to find the perfect fit!
What size does the cake need to be?
Bakers, here’s the scoop on cake sizing: The options are an 8” double-layer round cake or 24 cupcakes. For the round cake, serving sizes are based on 1x2x4-5” slices, making it enough to serve up to 24 people. Don’t worry—families will get a cutting guide to make slicing a piece of cake!
Do I need to bake in a licensed kitchen?
Good news! Most states don’t require a licensed kitchen for food donations made through a nonprofit. If you’re not a licensed baker, no problem—just be sure to include a note with your cake stating: “This cake was donated by Icing Smiles, a nonprofit organization, and was not baked in a licensed kitchen.”
How do we decide on the design?

Every week, we spotlight your incredible cake missions across the nation on social media! We proudly share your name, your company (if you have one), and even your website or Facebook page to give you the recognition you deserve.

What should I do if I am no longer able to complete the mission?
Life happens! If you find yourself facing an unexpected obstacle—like a surprise flu attack or an unforeseen circumstance—don’t sweat it. Report to your Commander immediately and give them a full debrief. If there’s time to rally a backup baker for a Plan B cake, we’ll mobilize quickly to keep the mission on course!

Do I get reimbursed for my costs?
We offer a flat-rate reimbursement of $25 per cake or $25 for every 24 cupcakes served.
Is my donation tax deductible?
Here’s the mission briefing straight from the IRS rulebook: While your time isn’t tax-deductible (we know, tough break), there’s good news—your supplies and mileage used during your cake operations? Those are fully tax-deductible!
And if you’re operating from a retail bakery, here’s the intel: under IRS rules, you might be eligible to deduct up to twice the cost of your supplies. This bonus deduction helps businesses donate appreciated inventory at fair value since labor isn’t deductible.

How do you determine who to serve?
It’s all about the mission! We prioritize military children whose parents are actively deployed. Our goal is to bring joy to these incredible kids and honor their families’ sacrifices by creating special moments during challenging times. It’s our way of serving those who serve our nation.
How much notice do you provide bakers?
Here’s how we coordinate the mission: We aim to give our bakers the green light up to three months ahead of time. Families are required to submit their cake requests with at least eight weeks’ notice.
How quickly do I need to respond to a request?
Speed is the mission priority! When a ‘call to duty’ goes out, it’s sent to 3-5 bakers, and it’s first come, first served—so act fast to secure your mission!
If 48 hours pass without a response or everyone signals ‘unable to assist,’ no problem. We regroup and send the call to another 3-5 baking champs. It’s a high-speed cake relay, so grab the opportunity and get ready to whisk into action!
What should I do if a family reaches out to me to make a cake donation for them?
Kindly guide them to headquarters! Let them know to visit the Operation Cakes for Heroes website to schedule their cake mission. Why? Because we’ve got your six! From liability coverage and tax documentation for your donation to reimbursement for those extra bakes (beyond two a year), we’re here to back you up. Plus, you’ll be recognized as an official member of our Baking Troop. It’s all about keeping the mission official and making our cake team shine with pride!
Do I have to deliver the cake?
Not always! Sometimes we have special drivers ready to step in and complete the mission. If not, we will coordinate a drop-off time that works for both you and the family. Whether it’s a doorstep drop-off or a handoff – the mission stays on target!
What do I do if the family offers me money for the cake?
Hold tight—fairness is the name of the game! We kindly ask that families redirect their generous contributions to Operation Cakes for Heroes. This not only helps keep things equitable across our baking troops but also supports the behind-the-scenes heroes who handle the logistics and corporate costs.
